About the Role

Having appointed our new Chief Executive in May 2021, we are working towards the realisation of a new strategy which meets the ever-increasing demands placed upon our profession each day. Working as part of an established and highly capable leadership team, CIBSE is seeking to appoint a new Operations Director who has the capability to support the delivery of many of our institution’s ambitions.

As the Operations Director you will be responsible for:

  • Governance compliance and secretariat including the operation of the Board and its sub-committees, Council, and the Nominations Panel,   filing of charity and company returns, and GDPR.
  • Central support services including IT, HR, Legal, Premises and Facilities management.
  • Creating and leading the infrastructure that will facilitate CIBSE’s continued and expanding position as the premier institution in the building services engineering sector through robust business planning, forensic financial and resource management, ongoing approach to     improving policies procedures and systems, and good governance.
  • Undertaking ad hoc projects as may be required, many of which will have a critical impact to CIBSE over future months, years, and decades to come.

To qualify as the Operations Director, you will have experience / knowledge of:

  •  Proven experience of working in a relevant management role within a charitable organisation.
  • Knowledge of governance requirements relating to bodies incorporated by Royal Charter and / or Registered Charities.
  • Significant knowledge of strategic planning, budgeting, and financial management.
  • Strong written and verbal communication and influencing skills.
  • Strong leadership and people management skills and track record of success.
  • Ability to establish and maintain effective working relationships with other departments, senior stakeholders, current and prospective members, volunteers, and committees.

An opportunity has arisen for an Executive Assistant to provide support to the Chief Executive and Operations Director of the Chartered Institution of Building Service Engineers.  This is an exciting time to join CIBSE, which plays a critical role in a growing and changing sector, and which has developed and diversified significantly over the last few years. CIBSE is at the forefront in the drive to improve performance and safety, health, sustainability and enable net zero carbon in the built environment.
Reporting directly to the Chief Executive of CIBSE and supporting the Operations Director, the successful candidate will play a central role in the smooth operation of the Institution, providing support across key central functions of the Institution. The Executive Assistant will engage with senior Officers and Directors of the Institution, and the wider staff, and will be involved in a diverse and exciting range of activities. 
Job Description:

Support for the Chief Executive:
  • Diary management.
  • Ensure relevant papers are available for meetings.
  • Filter enquiries.
  • Draft responses to general correspondence.
  • Arrange Travel in UK and abroad;

Liaison with senior members of the Institution

  • President's Agenda and diary management.
  • Ensure the needs of the Officers of the Institution are met.

Support to Operations Director

  • Committee servicing support for the governing Board, its sub-committees and panels, General Meetings, CIBSE Services Board, CIBSE consultative Council and internal Directors meetings. To include co-ordination and despatch of agendas and papers and preparation of minutes of meetings.
  • Administration of a wide range central functions including the nominations process and Institution awards.

Person Specification:

  • The role requires a highly self-motivated, dedicated and practical person who possesses a broad range of people and organisational skills.
  • Experience of committee administration and minute-taking is essential.
  • Excellent computer skills are required, including Microsoft Office.
  • Ability to demonstrate initiative and to suggest improvements to processes.
  • Exceptional communication skills and an ability to work with a wide range of people.
  • Confident self-starter, able to work proactively, think ahead and multi-task in a fast moving environment.
  • Exceptional organisational skills and 'can-do' attitude.
  • Sensitive and diplomatic with a high level of confidentiality.
  • Confidence in decision making and prioritisation of tasks.
  • Excellent time management and attention to detail.
